Managed Email Support

Managed Email Support for Business Email Systems

Email is mission-critical, but in most businesses nobody actually owns it. We become your outsourced email team — monitoring, maintaining and securing your email across Microsoft 365, Google Workspace or your own servers, with a defined response when something needs us. One number to call, and it is handled.

  • 24×7 automated monitoring
  • Security kept enforced
  • Plain-English monthly report
  • No long lock-in

Why this matters

When nobody owns email, the business carries the risk.

Email gets bolted onto whoever is least afraid of it, managed part-time between fifty other things. Incidents recur, staff complain, and both the bill and the risk stay opaque — until something breaks at the worst moment.

  • No one actually owns it

Email falls to whoever is least afraid of it, so when it breaks you are bounced between vendors.

  • Incidents keep recurring

The same failures come back because nobody is watching or fixing the root cause.

  • Security quietly lapses

MFA, authentication and access drift out of enforcement, leaving you exposed without knowing.

  • Failures stay invisible

A blacklisted IP, an expired certificate or a stuck queue is invisible until a customer complains.

  • Changes go undocumented

New senders, domains and staff are added ad hoc, so the setup gets fragile and no one can explain it.

  • Reliability is unprovable

You cannot show a client or insurer that your email is genuinely managed and watched.

With Managed Email Support, one accountable partner watches your email continuously, fixes problems at the root, and proves it every month — so you stop firefighting and start trusting your email.

The Mailoza approach

Operational ownership of your email — not a help desk.

Managed Email Support is the accountable, ongoing operation of your email environment, delivered as a tiered monthly service. It is not "hosting" and not a ticket queue — it is a specialist team owning the outcome.

We watch it continuously

Always-on, automated monitoring of mail flow, queues, reputation, authentication and certificates — so problems are caught before they cost you.

We maintain it proactively

Scheduled checks and rollback-safe changes keep authentication, security and configuration healthy as your business changes.

We keep it secure

MFA stays enforced, legacy protocols stay closed and DMARC stays at enforcement — security that does not quietly lapse.

We prove the value

A plain-English monthly health report shows what we watched, what we caught and what we fixed — invisible work, made visible.

We respond when it matters

A defined, plan-based response commitment in writing — you always know the window you can count on.

We own the outcome

One accountable partner across every platform, coordinating with your other vendors so the finger-pointing ends.

What's included

The depth of a dedicated mail admin, without the hire.

Every plan covers the work that keeps business email reliable, secure and deliverable. Scope and response scale by tier (Watch / Managed / Complete); we agree the right tier from a baseline assessment.

  • Continuous health monitoring

24×7 automated checks on mail flow, queue depth, reputation across major blocklists, authentication state and certificate expiry, with plain-English alerting.

Outcome You find out from us, not from an angry customer.

  • Authentication upkeep

SPF, DKIM and DMARC kept healthy and aligned as your senders change, with DMARC held at enforcement and aggregate-report monitoring.

Outcome Spoofing stays blocked and your legitimate mail keeps landing.

  • Security posture management

MFA and conditional access kept enforced, legacy authentication kept closed, audit logging kept on, mailbox rules and forwarders reviewed.

Outcome Your defences stay up instead of quietly drifting down.

  • Proactive maintenance

Scheduled checks of authentication, reputation, backups, certificates and configuration drift — with rollback-safe changes on a defined cadence.

Outcome Problems are corrected before they become outages.

  • Change & capacity management

New users, domains and senders added and documented safely, with capacity pressure (storage, queues, server load) flagged before it bites.

Outcome The environment stays clean and explainable, not fragile.

  • Monthly health report

A plain-English report covering authentication and reputation status, issues caught and resolved, changes made and prioritised recommendations.

Outcome You can prove reliability to clients, insurers and leadership.

  • Defined response commitment

A written, tier-based response target for when something needs a human — with emergency response included at the Complete tier.

Outcome One number to call, and a window you can count on.

  • Named point of contact

A specialist who knows your environment; a dedicated specialist and strategic roadmap at the Complete tier, with quarterly reviews from Managed up.

Outcome A real relationship, not a rotating ticket queue.

Every platform you run

Managed across cloud and self-hosted email.

We operate your email wherever it lives, and advise on what is right for you — not what a partner badge pays us best.

  • Google Workspace
  • Mailcow
  • Stalwart
  • Linux Mail Servers

How onboarding works

A calm path from first call to always-watched.

We take ownership in a disciplined way, so the handover is clean and you always know what happens next.

  1. Baseline assessment

We assess your email — deliverability, authentication, security and reputation — so the scope and tier are right from the start.

  2. Onboard & document

We agree the access model, document your environment, senders and contacts, and set the monitoring coverage in place.

  3. Stabilise & harden

We fix anything fragile, bring authentication and security to enforcement, and remove the recurring causes of incidents.

  4. Monitor & maintain

We watch continuously and maintain proactively, responding within your defined commitment when something needs us.

  5. Report & review

Every month you get a plain-English health report; from the Managed tier up, a quarterly review keeps us aligned to the business.

What you receive

Clear deliverables, every month.

Managed Email Support is a relationship, not a one-off — so the deliverables are ongoing and provable.

  • Onboarding and environment documentation you keep
  • Continuous monitoring coverage of mail flow, queues, reputation, authentication and certificates
  • A defined, written, tier-based response commitment
  • Proactive maintenance and rollback-safe change management
  • Security posture kept enforced (MFA, legacy auth, DMARC at enforcement)
  • A plain-English monthly health report
  • A documented change log
  • A named point of contact (a dedicated specialist at the Complete tier)
  • Quarterly reviews (Managed up) and a strategic roadmap (Complete)
  • Incident reports for significant events

Priced on outcome and expertise — never per mailbox. A predictable monthly commitment, framed against the cost of a single outage, with clear, fair terms and no long lock-in.

Is this the right service?

When Managed Email Support is the right call.

Managed support fits when email carries ongoing risk that needs owning — not a single, isolated fix. Here is how to tell.

Start here when…

  • Nobody internally owns email and incidents keep recurring
  • You have just finished a migration, remediation or hardening and want to keep it fixed
  • Staff complaints about email are a recurring drain
  • The business is scaling and email risk is growing with it
  • You need to prove reliability and security to clients or insurers
  • You depend on email but cannot justify a full-time email admin

A different service fits better when…

  • You have a single, well-defined problem with no ongoing risk — start with a focused project instead
  • Mail is actively down, blacklisted or breached right now — start with Emergency Email Support
  • You are moving platform — start with Email Migration, then graduate into managed support
  • You genuinely have competent in-house email ownership — monitoring alone may be enough

Questions

Answers, in plain English.

Is this the same as email hosting?

No. We do not sell mailboxes or storage. Managed Email Support is the ongoing, accountable operation of your email — monitoring, maintenance, security and a defined response — on whatever platform you already run.

Which platforms do you manage?

Microsoft 365 (including hybrid), Google Workspace, and self-hosted mail — Mailcow, Stalwart and Linux/Postfix. We are vendor-neutral and advise on what is right for you, not what pays us best.

What does "24×7" actually mean here?

Monitoring is always-on and automated, 24×7. Human response is a defined, tier-based commitment we put in writing. We deliberately will not promise unbounded round-the-clock human support we cannot guarantee.

How fast do you respond when something breaks?

Within the response target of your plan, committed in writing. Watch is a business-hours target; Managed is faster and prioritised; Complete carries the fastest committed window and includes emergency response.

Do I keep control of my own environment?

Yes. You keep full admin ownership of your tenant or servers. We operate under an agreed access model and document every change, so nothing is a black box.

What is in the monthly report?

In plain English: authentication and reputation status, issues caught and resolved, changes made, a monitoring summary and prioritised recommendations. It is the proof that your email is genuinely being looked after.

Will you work alongside our existing IT provider?

Yes. We own the email outcome and coordinate with your other vendors. You do not have to rip anything out, and we never bad-mouth your current IT — we simply take email off their plate.

How is it priced?

On outcome and expertise, as a predictable monthly commitment — never per mailbox. The cost is framed against the cost of a single outage or compromise, with clear, fair terms and no long lock-in.

Can we start small and upgrade later?

Yes. Plans run Watch, Managed and Complete. Many customers start at the tier that matches today's risk and move up as they grow or add services like continuity, archiving or security management.

What happens in an emergency on a lower tier?

Emergency response is included at the Complete tier and available as an incident at Watch and Managed. Whatever your tier, you reach a specialist with a defined response — not a queue.
